Front Office Administrator

Job Title: Front Office Administrator

Job Summary: 
The incumbent will work closely with the General Manager to provide administrative and organizational support and will have opportunity to take up significant responsibility in a fast growing environment.

Generic Duties
  • Attend to all phone calls, direct incoming calls and respond to all inquiries
  • Receive all visitors and ensure they are all served
  • Record all incoming and outgoing mails and packages in the records book
  • Schedule meetings if any
  • Maintain stationery supplies and coordinating deliveries
  • Closely monitor time attendance of staff and make follow ups where needed
  • Preparing meeting minutes, meeting notes and internal support materials
  • Handle client complaints with follow up to ensure satisfaction
  • Prepare and modify documents including correspondence, reports, drafts and emails
  • Liaise and follow-up on clients, suppliers of various services and continuously update the status of the tasks undertaken. This includes following up on business licenses, work permits
  • Provide timely and accurate operational support on behalf of the General Manager to maintain day to day efficiencies in the office
  • Conduct regular research in area of responsibility and disseminate information appropriately to enhance knowledge, attitudes, opinions and aspirations of the company’s stakeholder.

Qualification and Experience
  • Diploma in Business Management/ Administration
  • 2 to 3 years in a similar field
  • Ability to ‘get things done’ in a hands on manner
  • Excellent attention to detail
  • Excellent customer service, interpersonal and relationship management skills
  • Excellent administrative skills
  • Excellent communication skills including written and oral skills
